Payment Upon Completion:

Payment for scheduled service trips, diagnostic services, parts, repairs, precision maintenance, and smaller equipment installations is due in full upon completion of the service visit, unless otherwise agreed upon in writing.

This includes routine installations and replacements such as humidifiers, HVAC accessories, replacement parts, and smaller HVAC components.

Deposits for Major Installations and Projects:

A 50% deposit is required for major HVAC equipment installations, equipment replacements, and larger projects involving significant equipment or material purchases, unless otherwise specified in the written estimate.

The deposit is used to secure equipment, materials, and scheduling. The remaining balance is due upon completion of the agreed-upon work, unless otherwise specified in writing.

Estimates and Pricing:

Written estimates provided by Gillman HVAC, LLC are valid for seven (7) days from the date issued, unless otherwise specified.

Estimates are based on the equipment, materials, labor, and scope of work identified at the time of evaluation. Any additional repairs, materials, equipment, or labor required beyond the original scope will be discussed with the customer and approved before proceeding.

Pricing is subject to change after the estimate expires or if the agreed-upon scope of work changes.

Diagnostic and Service Fees:

Gillman HVAC, LLC charges a service trip and diagnostic fee for scheduled service visits involving troubleshooting, system evaluation, or identification of heating and cooling equipment problems.

These charges cover the technician's travel, professional time, experience, diagnostic procedures, and evaluation of the equipment.

Diagnostic and service trip fees are due upon completion of the service visit, regardless of whether the customer authorizes or declines the recommended repairs, unless otherwise agreed upon in writing.

Any additional repairs, replacement parts, materials, or labor will be discussed with the customer before proceeding and billed separately, unless included in an approved estimate.

Additional Repairs and Unexpected Conditions:

During HVAC service, maintenance, repairs, equipment replacements, or installations, additional issues may be discovered that were not visible or identifiable during the initial inspection or evaluation.

These conditions may include deteriorated components, damaged wiring, existing installation deficiencies, concealed damage, or other equipment-related issues requiring additional parts, materials, or labor.

If additional work is necessary, Gillman HVAC, LLC will inform the customer of the findings and discuss any additional costs before proceeding with work outside the originally agreed-upon scope.

Additional repairs, materials, and labor are not included in the original estimate unless specifically stated in writing. Any approved additional work will be billed accordingly.

Scheduling, Cancellations, and Equipment Access:

Gillman HVAC, LLC schedules service, maintenance, repairs, and installations based on technician availability and the estimated time required to complete the work. Scheduled arrival windows are approximate and may be affected by weather, traffic, emergencies, or unforeseen conditions at earlier appointments.

Customers are asked to provide reasonable advance notice when requesting to cancel or reschedule an appointment.

Customers are responsible for providing safe and reasonable access to HVAC equipment, electrical panels, thermostats, mechanical rooms, and other areas necessary to perform the scheduled work.

If a technician arrives and cannot access the equipment, the customer is unavailable, or unsafe conditions prevent the work from proceeding, an applicable service or trip charge may be assessed. Any such charge will be communicated to the customer before it is applied.

Gillman HVAC, LLC reserves the right to postpone or discontinue work when conditions present a safety concern for our technicians, customers, or property.

Equipment Warranties and Workmanship:

Gillman HVAC, LLC takes pride in providing professional HVAC installations, maintenance, and repairs using quality equipment, materials, and established industry practices.

Manufacturer Warranties

Heating, cooling, and HVAC equipment, replacement parts, and accessories may be covered by warranties provided by their respective manufacturers. Warranty coverage, duration, registration requirements, and exclusions vary by manufacturer and product.

Manufacturer warranties generally cover qualifying equipment or parts and do not automatically include labor, diagnostic charges, refrigerant, shipping, or other expenses associated with warranty service.

Installation and Workmanship

Gillman HVAC, LLC stands behind the quality of its workmanship. Any specific workmanship warranty, including its duration, coverage, and limitations, will be identified in the applicable written estimate, invoice, or installation agreement.

Existing Equipment and Components

When performing maintenance, service, or repairs on existing HVAC systems, Gillman HVAC, LLC cannot guarantee the future performance of components that were not replaced or repaired during the service visit.

Warranty Service

Warranty claims are subject to the applicable manufacturer's requirements and verification of coverage. Any charges not covered by an applicable warranty will be discussed with the customer before additional work is performed.

Nothing in this notice limits any rights or warranties that cannot legally be excluded.

Customer Responsibilities and Existing System Conditions:

Customers are responsible for providing Gillman HVAC, LLC with accurate information regarding known equipment problems, previous repairs, existing system conditions, and any concerns that may affect the scheduled work.

Customers are also responsible for ensuring reasonable access to the equipment and providing necessary utilities, including electricity, water, and gas, when required to perform the authorized services.

Existing Equipment and System Conditions

HVAC systems may contain aging, deteriorated, improperly installed, or previously damaged components that are not immediately apparent during an initial inspection or service visit.

Gillman HVAC, LLC will make reasonable efforts to identify and communicate observable concerns. However, servicing, repairing, or replacing one component does not guarantee the condition or future performance of other existing components or systems.

Pre-Existing Deficiencies

Any pre-existing deficiencies, concealed damage, code-related concerns, or additional repairs discovered during the course of work will be discussed with the customer.

Work required to correct these conditions may involve additional charges and will be subject to customer authorization before proceeding.

Safe Working Conditions

Gillman HVAC, LLC reserves the right to postpone or suspend work when unsafe conditions, inaccessible equipment, hazardous materials, or other circumstances prevent services from being performed safely.

Nothing in these terms limits Gillman HVAC, LLC's responsibility for damage caused by its own negligence or any other responsibility that cannot legally be excluded.
